§1

General provisions

  1. These Regulations have been prepared for the purpose of defining the rules of participation in the Warsaw Global Investors Summit – Finance – Technology – Defense, which will be organized on June 10, 2025 at the Stock Exchange Center, 4 Książęca Street, 00-498 Warsaw by the “Center for Strategic Thought” Foundation.
  2. The abbreviations used in these Terms and Conditions have the following meanings:
  • Event – Warsaw Global Investors Summit – Finance – Technology – Defense;
  • Participant – any person who has registered to participate in the Warsaw Global Investors Summit – Finance – Technology – Defense in accordance with the provisions of these Terms and Conditions;
  • Organizer or Foundation – the “Center for Strategic Thought” Foundation based in Sopot (ul. Powstańców Warszawy 19, 81-718 Sopot), entered in the register of associations, other social and professional organizations, foundations and independent public healthcare institutions by the District Court Gdańsk-Północ in Gdańsk, 8th Commercial Division of the National Court Register under KRS number 0000571469, NIP 5851471831, REGON 362258560;
  • Civil Code – Act of April 23, 1964 – Civil Code (consolidated text, Journal of Laws of 2020, item 1740, as amended);
  • GDPR – Regulation (EU) 2016/679 of the European Parliament and of the Council of April 27, 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) (OJ EU “L” 2016/119/1)”

3. The provisions of these Terms and Conditions together with Appendix 1 shall apply to participation in the Warsaw Global Investors Summit – Finance – Technology – Defense even if its date or location changes.

5. Familiarization and acceptance of these Regulations is a prerequisite for participation in the Event.

Registration for participation in the Event

  1. Participants can take part in the Event at the place where the Event is held in a stationary form.
  2. Only adults can participate in the Event.
  3. The conditions for participation in the Event are registration via the registration form available on the website:
  4. https://www.efcongress.com.pl/wydarzenie/warsaw-global-investors-summitt/, giving the obligatory consents in the form and entering the special password sent in the personal invitation from the Organizer and Partners of the Event. Each Participant should fill in the registration form independently and in their own name and give the mandatory consents required for registration.
  5. Registration for Participants opened on February 27, 2025, and will close on May 30, 2025, at 3:00 p.m. The Organizer reserves the right to change the registration dates.
  6. Participation in the Event is only possible based on a personal invitation.
  7. The Organizer does not provide Participants with accommodation and transportation, in particular travel and accommodation costs related to participation in the Event, which each Participant bears independently.

§3

Place, date and program of the Event

  1. The Event will take place on June 10, 2025.
  2. The event will take place at the Stock Exchange Center at ul. Książęca 4, 00-498 Warsaw.
  3. The Organizer reserves the right to change the date or format of the Event from on-site to online in a situation where it is impossible or excessively difficult to carry it out on the date referred to in paragraph 1 above for reasons beyond the Organizer’s control, in particular due to restrictions, orders and prohibitions related to the introduction of a state of pandemic. Any change to the date or format of the Event will be announced immediately on the Event Website.
  4. The Organizer will immediately inform the Participants about the change of date, place or format of the Event on the website and by e-mail.
  5. In the event that the Event is rescheduled, or the Event is changed entirely to an online format, or the Event is shortened, the Participant is entitled to cancel their participation in the Event within 14 days from the date the Organizer sends the email notification about the change.
  6. The program of the Event is available on the Warsaw Global Investors Summit – Finance – Technology – Defense website. The Organizer reserves the right to change the program. In such a case, the Participant shall not be entitled to any other claims against the Organizer.
  7. The Organizer reserves the right to cancel the Event. The Participant shall not be entitled to any claims against the Organizer (e.g. for reimbursement of costs incurred in connection with transportation or accommodation).
  8. The rights of the Organizer described in this paragraph may also be exercised after the start of the Event.

§4

Participant’s cancellation

  1. Cancellation of participation in the Event for reasons dependent on or independent of the Participant is only possible by sending a statement of cancellation of participation in the Event by e-mail to: poczta@efcongress.com.
  2. During the Event, the Participant is obliged to behave in a civilized manner, respect the rules of social conduct and follow the Organizer’s instructions.
  3. Participants are prohibited from conducting any commercial, canvassing, advertising, promotional, or agitation activities, as well as fundraising not agreed with the Organizer, or activities that are not in accordance with applicable law.
  4. The Coordinator shall not be liable for the Participant’s belongings that are lost, stolen or damaged during the Event                                                                                                                                                                                           § 5

Image of Participants and Panelists

  1. Acceptance of these Regulations means, in particular, that in the event of recording the image of the Participant and Panelists in connection with their participation in the Event, the Participant – in accordance with Article 81(1) of the Act of February 4, 1994, on Copyright and Related Rights (Journal of Laws of 2019, item 1231, as amended), the Participant agrees to the free use and distribution of his/her image by the Organizer. Each Participant acknowledges that this image may be disseminated by the aforementioned entities, among others, for the purposes of promoting and informing about the Event and the Foundation’s activities, in any chosen place, time or form of presentation (e.g. a frame, photo, film), and in particular: during and after the Event, in the media in the broadest sense, including the Internet, social media (e.g. Facebook, Instagram, LinkedIn, YouTube), in the press, on the website: https://www.efcongress.com/. Withdrawal of consent to use or distribute the image during the Event will prevent further participation in the Event.
  2. The above consent to use and distribute the image includes, in particular, the following fields of exploitation:
  • Any reproduction by any technique, including: on audiovisual disks, photosensitive technique, digital technique, computer recording technique, in a multimedia network (including the Internet),
  • Processing,
  • storage in a computer, other device or in a multimedia network, including the Internet,
  • all forms of distribution, including print, digital storage and multimedia transmission,
  • any distribution of the original or copies in which the image is recorded – marketing (including via the Internet and other data transmission techniques using telecommunications, IT and wireless networks), lending or renting out or giving away the original or copies for use on the basis of another legal relationship,
  • public performance, exhibition, display, reproduction, broadcasting and re-broadcasting, as well as making it publicly accessible in such a way that anyone can have access to it in a place and at a time of their choosing, in particular, use on websites, social networking sites,
  • use in multimedia works.
  • 3. Recording or filming the Event or Participants, as well as the distribution of recordings, photos, publications and other materials obtained in connection with the Event requires the prior written consent of the Organizer under pain of nullity.
  • 4. The Organizer is not responsible for the recording, fixation or distribution of the Participant’s image by other Participants or by other persons.

§6

Final provisions

  1. In matters not covered by these Regulations, the relevant provisions of law shall apply, including the provisions of the Civil Code and the GDPR.
  2. These Terms and Conditions shall enter into force on February 27, 2025, and shall remain in force until their repeal.
  3. The Organizer is the administrator of the Participants’ personal data. Personal data shall be processed in accordance with the GDPR. Detailed information regarding the processing of personal data is specified in Appendix 1 to these Terms and Conditions.
  4. The Organizer reserves the right to make changes to these Terms and Conditions, of which they will immediately inform the Participants.

Appendix 1 to the Terms and Conditions – GDPR Information Clause

In connection with the obligation arising from the GDPR, the Organizer provides below information regarding the processing of your personal data:

  • The administrator of your data will be: The “Center for Strategic Thought” Foundation based in Sopot (ul. Powstańców Warszawy 19, 81-718 Sopot), entered in the register of associations, other social and professional organizations, foundations and independent public health care institutions by the District Court Gdańsk-Północ in Gdańsk, VIII Commercial Division of the National Court Register under KRS number: 0000571469, NIP: 5851471831, REGON: 362258560, tel. +48 58 355 53 70 , e-mail: kontakt@fundacjacms.pl (hereinafter referred to as the “Administrator”).
  • Your data will not be processed automatically, including profiling. The administrator does not plan to transfer your personal data to third countries.
  • On the website, in the registration form for the Warsaw Global Investors Summit – Finance – Technology – Defense https://www.efcongress.com.pl/wydarzenie/warsaw-global-investors-summitt/ (hereinafter referred to as: “Event”), there are fields for giving consent to the processing of personal data:
  1. consent to the processing of personal data provided in the application form in order to participate in the Warsaw Global Investors Summit – Finance – Technology – Defense (including: name, surname, position, country, company address, home address, e-mail, telephone, date, IP address, gender) – this consent is mandatory, therefore failure to give it will prevent participation in the Event. The data specified in the form is necessary to ensure the organization and conduct of the Event, including confirming your reservation to participate in the Event, preparing ID badges, etc. The indicated personal data will be processed for the period necessary to settle the Event and until the statute of limitations for any property claims has expired, as well as the expiry of the deadlines specified in the accounting regulations. The legal basis for the processing of personal data resulting from the application form is Article 6(1)(a) of the GDPR;
  2. consent to the processing of image in connection with participation in the Event – this consent is mandatory, therefore failure to give it makes it impossible to participate in the Event. Consent is necessary because the course of the Event will be recorded and preserved, and the materials from the Event may be distributed in accordance with § 6 of the Regulations. The image indicated may be processed (disseminated) until you revoke your consent to the processing of personal data (withdrawal of consent does not include, in particular, promotional materials broadcast before the date of its withdrawal). The legal basis for the processing of the image as personal data is Article 6(1)(a) of the GDPR;
  3. consent to receive the newsletter from the Administrator by e-mail – this consent is voluntary, but if you do not give it, the Administrator will not send you the newsletter. The purpose of giving this consent is to inform you about the Administrator’s activities. The Administrator will be able to send you the aforementioned information and materials until you revoke your consent to receive the newsletter. The legal basis for data processing in the scope of sending the newsletter is Article 6(1)(a) of the GDPR.
  • For statistical or Event-related purposes, your personal data provided in the online registration form may be transferred to the Co-organizers and Partners of the Event.
  • Furthermore, regardless of point 4 above, if you give your consent in the appropriate field in the registration form, your personal data may be made available to Co-organizers and Partners for the marketing purposes of the Co-organizers and Partners as data controllers. Consent is voluntary, and failure to give it will result in your personal data not being transferred to Co-organizers and Partners for processing for marketing purposes.
  • The recipients of your personal data may also be, in particular, entities with which the Administrator cooperates in the organization of the Warsaw Global Investors Summit – Finance – Technology – Defense y, e.g. accounting offices, security companies, payment companies, hotels, etc.
  • You have the right to withdraw your consent free of charge at any time. Withdrawal of consent does not affect the lawfulness of processing based on consent before its withdrawal.
  • Unless otherwise provided by applicable law, you have the right to request access to and rectification or erasure of your personal data or restriction of processing concerning the data or to object to processing as well as the right to data portability.
  • You also have the right to lodge a complaint with the supervisory body – the President of the Office for Personal Data Protection (ul. Stawki 2, 00-193 Warsaw).
